In Finalsite’s District Communications Report, hundreds of district professionals shared the struggles they face today, from information overload to dealing with outdated contact information.

But the good news is that there's hope! Every challenge presents an opportunity for growth and improvement. The right tools and strategies can empower you to connect with your community, streamline your workflow, and make your messages heard, loud and clear.

Top Communication Challenges for Districts

In the report, one of the biggest challenges highlighted was the constant feeling of being behind. Between writing newsletters, managing social media, responding to emails, and coordinating with school staff members, the to-do list never seems to end. That’s why nearly 60% of respondents said, "Feeling like there's never enough time to get everything done” was their top challenge.

It's frustrating to see emails unopened or social media posts ignored, especially when you put in the effort to craft important updates, but they get lost in the shuffle of overflowing inboxes.

And even when you do manage to send messages out, low engagement can be a real downer. "Low engagement: too few parents and staff are reading our messages" was the second biggest challenge at 42%.

Message Mayhem and Misinformation

How do you convey important information in a way that grabs attention and creates action? It's a constant balancing act. Creating messages that actually *click* with families is no walk in the park, either. "Crafting and sending messages that resonate" is a struggle many communicators share.

And on top of that, school communicators often find themselves battling misinformation or constantly correcting old data from different sources, which can create confusion. A little over 26% said, "Having to constantly correct inaccurate or outdated data" was a recurring challenge.

Data Disasters and Tech Tangles

Another common problem is dealing with data that's all over the place. Student contact information might be in one system, emergency contacts in another, and email lists somewhere else entirely. "Dealing with scattered data or systems that don't integrate well" was a frequent complaint, coming in third with 28% of the vote.

Plus, some communication platforms are just plain confusing to use, making it hard to get a clear picture. Learning curves, clunky interfaces, and a lack of intuitive features can slow you down and make it harder to reach your audience effectively. "Navigating communication platforms that are confusing or hard to use," was another challenge cited in the report.

The report also highlighted some other pain points, with communicators sharing these frustrations:

  • Information Overload: "Too much information is being sent." This is a common struggle when you have to communicate schedule changes, event invites, policy updates, and more. It's easy to overwhelm your audience and cause them to tune out the actually important messages.
     
  • Going Rogue: "Managing all of the people who are communicating ineffectively or not on brand but representing our district: Teachers, Coaches, PTOs, student groups, etc." Maintaining a consistent brand voice and message across a district can be difficult when various individuals and groups are sending out their own communications.
     
  • Translation Troubles: "Crafting translated messaging in an accurate and timely manner." Making sure that all families, regardless of any language barriers, receive clear and accurate information is crucial, but it can still be a significant challenge when you're trying to communicate effectively.
     
  • Strategic Struggles: "Principals and school leadership who don't prioritize strategy communication." When school leaders don't understand the importance of effective communication, it can be difficult to get buy-in for resources and larger initiatives.
     
  • Website Woes: "Searchability of the website." A website is only useful if people can find what they need, right? Ensuring your website is well-organized, intuitive, and easy to navigate is essential.
     
  • Misinformation: "Addressing misinformation." School communicators are on the front lines of combating rumors and providing accurate information, but with social media, false information can spread quickly.
     
  • Platform Problems: "Keeping our platforms aligned." Juggling multiple communication platforms and creating consistency across them can be a logistical nightmare for team members, especially when data is siloed or not automatically updated.

How to Overcome Communication Challenges | Finding Solutions

So, how can you find a way through these hurdles and nail down some communication strategies for your school? A mass notification system can open up a lot of opportunities for improving your school communications. Here's how:

  • Save Time: Automate routine tasks like sending out reminders or alerts. Schedule recurring messages in advance, like weekly newsletters and monthly updates, or even low lunch balances or library dues. That’ll free up your time to focus on more strategic communication initiatives.
     
  • Boost Engagement: Reach your audience through their preferred channels, whether it's text messages, voice calls, emails, social media posts, or mobile app notifications. Also, segment your audience to send targeted messages that are relevant to their specific interests and needs. This way, the right people receive the right information at the right time.
     
  • Tame Your Data: Avoid manually updating contact information across multiple platforms and integrate your notification system with your student information system (SIS) to keep all your data in sync.
     
  • Simplify Communication: Choose a system with an intuitive interface and guided workflows that make it easy to create and send messages. Streamline your communication processes and reduce the learning curve for new users, too.
     
  • Stay Consistent: Create and save message templates to ensure consistency across all your communications. Manage messaging across different departments and schools to maintain a single brand voice and avoid conflicting information.
     
  • Target Your Audience: Use dynamic segmentation to create groups based on various criteria, like student grade level or program enrollment, and don't forget to leverage your parents' language preferences. This allows you to send highly targeted messages that are more likely to be read and acted upon.   • Enhance Equity and Inclusion: Make sure that all families have equal access to information by providing translations in multiple languages. Allow parents to set their preferred communication channels, empowering them to receive information in the way that works best for them.
